Room Changes, Lock Outs, and Lock Changes

 

Room changes are typically not offered until two weeks after the semester begins, nor during the four-week period before the end of the semester.

Once a student submits a room change request form it is reviewed by the Area Coordinator.  The Area Coordinator will follow up with the student to discuss why the student is seeking a change in assignment.  We highly encourage students who are having issues with their living situation to speak to their student staff member (Community Advisor, House Manager, or Resident Advisor) before submitting a room change request form.  The Area Coordinator may determine that a mediation needs to occur between conflicting parties, either with assistance from designated Residential Life staff or Area Coordinator. 

Please note that priority will be given to students who are seeking room changes in emergency situations, temporary housing assignments, or requesting a change for medical or other special accommodations.

Residential Life Lock Out Policy:

On weekdays, from 8:30 a.m. to 5:00 p.m., all students can retrieve loaner keys from the Office of Residential Life free of charge. Loaner keys must be returned to the Office of Residential Life within the allotted timeframe, typically by close of the business day (5:00 pm) on which they are checked-out.

Students will also be charged for a lock change if you fail to return a temporary room key within the allotted time frame. Lock changes start at $96, see below for more information on lock change costs.

Please see the table below for who can assist with lockouts.  Students living in the following areas will go to the Resident Advisor on duty during the hours noted below: Writer's Block (156 High Street), 200 Church Street, the Butterfields, Clark, Bennet, Nicolson, Hewitt, and West College.  Public Safety will handle lockouts for all other areas not mentioned above when the Office of Residential Life is closed.

Residential Life Lock Change Policy:

The Office of Residential Life holds the safety of Wesleyan students as a top priority. The loss or theft of a key is considered a security risk, as anyone who finds it is then able to access student buildings and/or rooms. Therefore, for the safety of all students, a lost key will always result in a lock change. The Office of Residential Life understands that keys maybe lost in such a way where the chances of anyone finding them are slim, however, the same rule applies to all.  This policy is an objective way of maintaining the safety and security of all students on campus.

  • How do I change rooms?

    The Office of Residential Life offers a room change request process for students who wish to change housing assignments. Room Change Request forms are available on the first day of classes each semester and can be accessed electronically: Submit a Room Change Request  ->  Select WESLEYAN - Student SSO Login

  • Can I switch rooms within an apartment or wood frame house?
    Residents must email Amy Alfano (aalfano@wesleyan.edu) and copy all of the other residents of the unit with requests to switch rooms within an apartment or wood frame house. Once approved, students will exchange keys and accept the room in its current condition.
  • Do I have to request a room change? Can't I just swap keys with my friend?

    Yes- you do need to request a room change following the process above.  It is important that student information is accurate and up to date for safety and security purposes.  Following the process above also helps ensure that students have access to the right spaces and any issues with the physical facilities can be addressed prior to the student moving in.

    Swapping keys with a friend or otherwise changing rooms without following the above process is considered an unauthorized move. Any unauthorized room changes/swaps will result in a $250.00 unapproved move fine and/or judicial action. 

  • What are the limits/restrictions to the room change request?

    The availability of housing for students to change rooms into is dependent upon the vacancies available on campus.  The following factors may also limit the options/availability for room changes:

    • Residents who applied for and were subsequently accepted to a program house may not change rooms to another program house nor to a non-program house space.  Commitments to program houses are made for the full academic year.
    • Individuals are not permitted to move into a completely empty double-occupancy room, nor from a single-occupancy room to another single-occupancy room.
    • Housing is designated as "class-appropriate" following the increasing independence model.  Students will not be approved for room change requests into spaces that are not "class-appropriate".

     

    Any unauthorized room changes/swaps will result in a $250.00 unapproved move fine and/or judicial action. 

  • What happens once a room change is approved?

    If a Room Change Request is granted, the following steps occur: 

    1. An Area Coordinator will meet with the Assignments Coordinator to discuss available spaces. 
    2. The Area Coordinator will contact the student via email regarding the new assignment offer.  A student will have 48 hours to accept or decline a room change offer.  If a student does not respond, the offer is withdrawn and the space can be offered to another student. 
    3. If a student accepts the offer, the student has two days to pick up the keys and complete the move. 
    4. Keys to the previous assignment have to be returned within 48 hours to the Office of Residential Life.  Card access to the previous assignment will also end 48 hours after the offer is accepted.  Failure to return the old keys within the 2 business days may result in a lock change charge for the student. 
    5. The old room should be left in a clean condition and a Room Condition Report form for the new room needs to be completed within 5 days of the move. 
  • What do lock changes cost?

    A lost, stolen, or misplaced key to ANY residential space (including front doors to Program Houses and apartment buildings not on card access) will result in a lock change.  The cost of a lock change is $60 for materials, $24 for installation/labor and $6 per key needing to be cut according to capacity of the space and including at least one spare key for the Office of Residential Life.

    This cost is applied to the student account of the individual student responsible for the missing key.

    **Please note that each lost key requires a lock change and that these requests cannot be canceled after submission.**

  • Can I get the lock change fee waived?

    There is not a waiver process for the lock change costs.  Students are required to pay the costs associated with applicable lock changes, that are applied to their student account.

    Students who are unable to pay for a lock change should consult with appropriate campus resources for financial support such as their Class Dean or the Financial Aid Office.

  • Is There a Charge for Lock Outs?

    Yes- if the lockout occurs outside of normal business hours (8:30 am - 5:00 pm, M - F).  All lockouts outside of the Residential Life Office business hours (Monday-Friday, 8:30 a.m. to 5:00 p.m.) are subject to a $10 charge. 

    You will be charged $10 for lock outs each time Public Safety or an RA unlocks your door.  Students who are unable to pay the lock out charge for Public Safety may request a waiver for this cost from the Director of Public Safety, Scott Rhode.
